It’s time to break up with
your fax machine

Faxes are slow, manual, and disconnected. Every day, your staff spends hours transcribing, sorting, and labeling documents by hand, all while patients wait and revenue stalls.

We’ve been together for a long time, and the years have been good. You’re dependable, sturdy, and always there, even when I’m frustrated with you.

You’ve gotten me through a lot of ups and downs over the years, but I think that I’ve grown too comfortable with you.

I rely on you for too much, and I look the other way when things don’t necessarily go as planned. Sometimes you lose things, you can be slow and temperamental, and you don’t work well with others. Plus, you can be very loud.

I know you’re trying your best, and for a long time that has been good enough.

But not anymore.

FAQs

Frequently asked questions

What specific outcomes can we expect from our Intelligent Document Processing?

Our customers use Notable to turn unstructured documents into structured data that we can send back to EHRs or DMSs. This ultimately reduces manual work and accelerates time‑to‑schedule while reducing leakage. Notable handles the transcription and labeling of incoming documents so staff can focus on the edge cases.

How fast is the processing time from receipt to export?

Notable processes documents in near real-time (10-15 min). When a fax or document arrives, our AI agents begin extracting and structuring the data immediately. This ensures that urgent referrals are identified and worked on hours or days faster than manual workflows allow.

How does Notable’s AI different from traditional OCR solutions?

Traditional OCR (Optical Character Recognition) simply scrapes text from a page and often struggles with handwriting or unstructured formats. Notable uses intelligent automation to actually understand the context in the document e.g., distinguishing a patient’s DOB from an appointment date or a CPT code from a phone number, in addition to matching unstructured data, such as a procedure description, to discrete data fields in your EHR, such as order codes. We then structure that data and integrate it directly into your EHR.

Can Notable automatically route documents to the correct workqueue?

When categories are well-defined and routing rules exist in your DMS or EHR, we can identify the document type (e.g., Referral, Lab Result, Consult Note) and apply the necessary labels. We then deliver this structured information into your existing DMS or EHR to send the document to the precise work queue or attach it to the patient’s chart.

How does Notable prioritize urgent referrals vs. routine documents?

Notable processes documents in near-real time, so both urgent and routine orders and referrals are transcribed within 10-15 minutes. If orders need to go through an additional review process, Notable can label documents based on the priority stated on the document and/or assign priority based on custom logic defined by our partner.

Can staff review or correct data before it is finalized in the chart?

Yes. Notable is designed to support a “Human-in-the-Loop” workflow. If the AI encounters a document with low confidence (e.g., poor image quality, missing fields) or other specified criteria (e.g. complex procedure orders), it can flag the item for staff review. Staff will validate or correct specific fields before the data is exported to the patient record.

What specific data fields can be automatically extracted?

Notable can extract and digitize comprehensive clinical and administrative data, including patient demographics, referring provider details, order and diagnosis codes, order priority, scheduling notes, and more. This data is converted from the image into discrete fields ready for your EHR.

How does Notable leverage your existing EHR and DMS investments?

Notable integrates directly with your existing infrastructure via SFTP, HL7, and FHIR to deliver structured data exactly where it needs to go, whether it is specific fields or discrete inputs.

How does Notable ensure the model maintains high performance over time?

We take a "safety-first" approach to AI learning. Rather than allowing the AI to update itself automatically without supervision, Notable has a managed improvement process. We partner with you to perform ongoing quality assurance of a small sample of documents to ensure accuracy standards are being maintained. The models are only updated after our team reviews staff corrections to derisk the model learning incorrect behavior.

Is the platform fully HIPAA compliant and secure?

Yes. Notable is fully HIPAA compliant, SOC 2 Type II certified, and built with enterprise-grade security standards. We treat patient data with the highest level of care, ensuring encryption and compliance at every step of the processing workflow.
